We understand that change can sometimes be difficult.

That’s why we utilize our 7-Step methodology which encompasses not only project design but implementation as well.  Participation from staff and project acceptance take place early in the process and are again reaffirmed during testing and training sessions which allow us to minimize resistance to change.  We build a road map to ensure each “turn” and “pit stop” are accurate and precise in your solution deployment.

Our Methodology

Every project begins with the Needs Assessment stage. Typically, this stage begins prior to software purchase and is an on-site consultation to analyze and evaluate your business needs, processes, and procedures. Workflow Strategies performs a high-level assessment of your organization’s document life-cycles, daily business activities, processes for automation, IT infrastructure, departmental and enterprise goals relating to content management and forms processing automation. This ultimately provides a road map for the entire project and a deliverable for the following stage.
During the Detailed Discovery Sessions, Workflow Strategies works with your staff to dissect the road map from the Needs Assessment stage ensuring each “turn” and “pit stop” are accurate and precise. Document identification, indexing requirements, image capture and workflow processes are finalized. The information gathered provides our consultants with the working knowledge to craft a Statement of Work for your approval.
One of the most important components of Workflow Strategies’ methodology is the creation of the Statement of Work document. This document describes the work to be performed, responsibilities of all parties, and the time required for each task. Workflow Strategies requires your organization to review and approve the completed Statement of Work prior to solution implementation.
During the implementation process, Workflow Strategies builds the agreed upon solution based on specifications outlined in the Statement of Work document. The solution is guaranteed to meet all the specified requirements, while increasing the efficiency of the process and eliminating as much waste as possible.
Workflow Strategies performs internal testing of all functionality during the installation and configuration stage, and additionally we work with your organization to test the complete solution following implementation. Testing is conducted with complete testing plans to ensure every aspect of your solution is properly operating.
Thorough training maximizes the effectiveness of the system and ensures user adoption. Even though our “point-and-click solutions” typically require minimal training, Workflow Strageties recommends that every individual who will use the system be sufficiently trained on their department specific interaction. All training sessions are be tailored to the audience, which can be held on-site or web-based.
All products which are installed and configured are also supported by Workflow Strategies and their respected software/hardware partners. Workflow Strategies’ team of content management and capture experts is dedicated to providing you with quality consultation, installation, training, and ongoing service and support to ensure that your needs and expectations are not only met, but exceeded.

How It Works

Workflow Strategies methodology consists of seven (7) major stages. This process applies to all projects regardless of size, duration or type of solution. Each project progresses through each stage requiring a deliverable to be completed before the next stage begins.

Deliverables “flow” from each stage to the next and serve as a baseline for the succeeding stage. The “reverse flow” represents iterative changes applied to a prior deliverable which has only been recognized in a later stage. The first three stages are the fundamental building blocks for implementation.
